In Portugal, every business has regulated accounting obligations that must be handled by a licensed contabilista certificado. But between you and your contabilista, there's a layer of preparatory work — collecting, organising, categorising and reconciling — that often falls through the cracks.

That gap is where TrueDatarium operates. We take on the time-consuming organisational tasks so that when your contabilista receives your file, it's complete, structured and ready for them to act on — not a starting point for detective work.

Receipt Collection

We accept receipts in any format — photographed paper receipts, PDF attachments, email forwards, scanned documents or physical post to our Lisbon address. Every document is logged on receipt with a date stamp and acknowledgement. Nothing gets lost in a pile.

Expense Categorisation

Each expense is categorised according to standard Portuguese accounting categories used by contabilistas. We apply consistent logic across all your documents and flag any items that require your input before categorising. Ambiguous items are never guessed — they're queried.

Bank Reconciliation

We reconcile your categorised transactions against your bank statements to ensure the records match what actually happened. Discrepancies are identified, noted and resolved — either by locating missing documents or flagging the issue for your contabilista's attention.

Monthly File Delivery

At the close of each month, we compile everything into a structured file formatted to your contabilista's preferences. The file includes all source documents, categorised transaction records, the reconciliation summary and any notes or flags requiring attention.

What we do not do.

Clarity about our scope matters — both for your expectations and for legal compliance. The following services are regulated activities in Portugal that must be performed by a licensed contabilista certificado registered with the Ordem dos Contabilistas Certificados (OCC).

TrueDatarium does not provide any of these services, and we will always be direct about this when asked.

  • Filing IVA returns or any tax declarations
  • Producing official financial statements
  • Providing accounting or tax advice
  • Acting as or replacing a contabilista certificado
  • Signing off on any regulated financial document
  • Representing clients before the Autoridade Tributária
  • Preparing IRS or IRC declarations
